Managing Your Subscription

Learn how to subscribe, manage payment methods, view invoices, and handle billing transfers.

This guide covers the full lifecycle of your Levelup subscription -- from initial checkout to managing payment methods and viewing invoice history.

Prerequisites

You must have an Admin or Owner role in your organization to access billing pages and manage subscriptions.

Subscribing to Levelup

If your organization does not yet have an active subscription:

  1. Navigate to Organization > Billing from the sidebar.
  2. Click Subscribe Now.
  3. The subscription page shows your current number of billable integrations and the calculated price for both monthly and annual billing.
  4. Select either Monthly or Annual billing.
  5. You are redirected to a Stripe checkout page to enter your payment details.
  6. After completing payment, you are returned to your portfolio with a confirmation message.

If you have no billable integrations yet (no connected accounting software importing data), the subscription page will prompt you to set up an integration first.

Choosing Between Monthly and Annual Billing

Both monthly and annual plans include the same features. The annual option provides a percentage discount compared to the monthly rate. The exact discount percentage and savings amount are displayed on the subscription page.

  • Monthly Billing: Billed each month based on your current company count.
  • Annual Billing: Billed once per year at a discounted rate. The annual savings compared to monthly billing are shown during checkout.

Managing Your Subscription via Stripe

Once you have an active subscription, you can manage it through the Stripe Customer Portal:

  1. Go to Organization > Billing.
  2. Click Manage Subscription in Stripe.
  3. You are redirected to the Stripe portal where you can:
    • Update your payment method (credit card, etc.)
    • Change your billing frequency (monthly to annual or vice versa)
    • Cancel your subscription
    • View and download past invoices

After making changes in Stripe, you are returned to the Levelup billing page.

Viewing Your Current Subscription

The billing page displays a summary card with:

  • Plan name -- For example, "Levelup Pro Monthly" or "Levelup Pro Annual".
  • Per-company price -- The monthly cost per company.
  • Company count -- The number of billable integrations on your plan.
  • Billing cycle -- Monthly or Yearly.
  • Total amount -- The total charge for the current period.
  • Auto-renewal -- Shows "Enabled" if your subscription renews automatically, or "Canceled" if you have scheduled a cancellation.
  • Current billing period -- The start and end dates of the current cycle.

If your organization has an active coupon or discount, the discount percentage and name are displayed under the total amount.

Invoice History

Below the subscription summary, the Billing History section lists all past invoices. Each entry shows:

  • Date -- When the invoice was generated.
  • Amount -- The amount charged.
  • Status -- Paid, canceled, or other status.

For each invoice you can:

  • Click the external link icon to view the full invoice on Stripe's hosted page.
  • Click the download icon to download the invoice as a PDF.

If you have more than 10 invoices, click Load more invoices to see older entries.

Affiliate Billing Transfers

In some configurations, billing responsibility for an organization can be transferred to a different payer organization. This is used in affiliate arrangements where one organization pays on behalf of another.

To initiate an affiliate billing transfer, an Admin of the target payer organization must approve the transfer. This operation is handled through the billing API and may require coordination with Levelup support.

Troubleshooting

  • Stripe billing is not available: If you see this message, billing is not enabled for your environment. Contact your administrator.
  • Gratis organizations: If your organization is on a complimentary plan, the Subscribe and Manage Subscription buttons are not available. No billing action is needed.
  • Payment issues: If your payment fails or your subscription lapses, visit the Stripe portal to update your payment method.
